  • Provide executive-level performance summaries for multiple brands.
  • Inform your customer service team about reviews that moderators have tagged with customer service issues.

Multi-Instance reporting

To protect the data that is returned in a multi-instance report, we block the delivery of these reports if the report creator loses access to any of the instances included in the report. All recipients of the report will stop receiving it until the creator’s access is resolved and the report has been rescheduled.

To resolve this, either:

  • Edit and reschedule the report: The report creator or Administrator role can edit the report to delete the instance they no longer have access to and then reschedule it, or
  • Duplicate the report: If the report creator has lost access to the instance because they have left the company, a recipient of the report (depending on permissions) or an Administrator role can duplicate the report and then delete the old report.

PII access

Personally identifiable information (PII)

Reporting capabilities are further refined based on a user's access to PII.  Refer to the following table for rules that apply to sending and receiving reports that contain PII.

Note: An active Portal user is any email address associated with an active Bazaarvoice Portal (SSO) user account. Active users without PII access permission can see reports that contain PII in the Reports list view in Portal, but cannot download them.

Scenario  Who can send a report? Who can receive a report?
Report contains only client data and PII Any active Portal user with access to reports and PII permissions Active Portal users with PII permissions
Report contains only client data and does not contain PII Any active Portal user with access to reports Any recipient
Report contains third-party data and PII
Any active Portal user with access to reports and has PII permissions
Active Portal users with PII permissions
Report contains third-party data and does not contain PII
Any active Portal user with access to reports

The ability to view information contained in reviews, questions, answers, and comments that contain PII is restricted based on report sender and recipient permissions. If a sender or recipient does not have PII access permission and content is marked with the PII content moderation code, information contained in text and title fields may be redacted from R&R Export and Q&A Export reports.

PII restrictions for report templates

To protect data that is collected through your organization’s site and the data collected from third-parties in the Bazaarvoice network, we implement security requirements. This helps to identify who can receive and download reports based on the data included in the report.

Bazaarvoice categorizes report templates in two groups:

  • Client data - Report templates that include only data that you collect and display on your own site. This includes the following templates:
    • R&R Key Metrics
    • Q&A Key Metrics
    • R&R Trends
    • Q&A Trends
    • ReviewSource Native Impact
    • Sampling Campaign Performance
    • Conversion Impact Report e-Commerce
    • Conversion Impact Report non-Commerce
    • Download reviews
    • Download questions & answers
    • Download product catalog
  • Third-party data - Report templates that also include data that comes from the Bazaarvoice network or data that is syndicated from another site, brand, or retailer. This includes the following templates:
    • Multi-Instance R&R Key Metrics
    • Multi-Instance Network Impact
    • Vendor Scorecard
    • Coverage Opportunity
    • Message Engagement
    • ReviewSource Impact on Destination Sites

    • Download network Review & Responses
    • Download adverse and legally sensitive syndicated content

Data availability

When you generate a report, it is generated using the latest data available at the time of processing.

Data usually takes up to 48 hours to become fully accessible. However, for the following report templates it becomes available within 24 hours:

  • R&R Key Metrics
  • Q&A Key Metrics
  • Download review (R&R Export)
  • Download questions and answers (Q&A Export)
  • R&R Trends
  • Q&A Trends
Note: Dates that are not available yet cannot be selected using the date picker.

Best practices

To make sure you're getting the best reporting experience, we recommend you follow these best practices:

Report maintenance and delivery

To improve the speed of your report generation, make sure the data you're including is only the data you need.

  • If you find when you download a report, that you're often ignoring the same columns, edit the report to remove this for next time.
  • Consider using a date filter for scheduled reports. For example:
    • If you're scheduling a Daily report, filter the date to include only relevant data rather than data for all time, or
    • If you're scheduling a Weekly report, filter the date to include data for the last 7 days to avoid repeat data each week.

Report recipients

  • If a colleague is leaving your organization, make sure you check which reports they are the administrators for, and update permissions where needed to ensure you don't lose access to important reports.

Product catalog health

  • The quality of the data available when generating reports and the ability to use certain filters, is reliant on your product catalog, which is why it's important that you keep this up to date. To learn more about maintaining your product catalog, refer to Integration health.
  • To make sure you can access reporting features for Private Brands, check that Private Brands are enabled in your catalog implementation. For more information about adding Brands, refer to Working with brands.
