Reports FAQs

View the following questions and answers to better understand reporting features, details, and limitations.

Reports access and permissions

Why can’t I perform some actions?

Depending on your assigned roles, you may not be able to perform some tasks. For example, you may not be able to edit or delete reports that you didn’t create, or share reports with certain email recipients.

Why can't I see all report templates?

Available templates differ depending on which Bazaarvoice solutions you have implemented.

Are users assigned the Reports Admin role also granted the PII Access role?

No. Because users must accept the Terms of Use (displayed when enabling the PII Access permission), we cannot auto-assign PII Access to any users on your behalf. Users with the Account Administrator role and PII Access permission must grant PII Access permission to other users.

How long are reports available to download?

You can download a report up to 14 days after it was generated.

How long does data take to appear in a report?

Typically it takes 48 hours before raw data and metrics are available in reports. For example, if a review is moderated, the data may not be available in our reporting systems for 24 hours. It can take another 24 hours before aggregated metrics can be built on that data.

Why is a report flagged as containing PII and downloads are blocked?

When any report contains data flagged by moderation as PII, for example, a review was moderated to contain personal information, users who do not have PII access permissions cannot download the report.

Is there a column limit on reports?

Yes. Custom Reports currently support a maximum of 55 columns per report. Each metric and dimension selected is counted as one column.

Why am I not receiving my multi-instance report?

If the report creator no longer has access to at least one of the instances included in the report, we block the delivery of this report until the creator’s access is resolved and the report has been rescheduled.

To learn more about who can create and receive these reports, refer to Multi-instance reporting.

Report data

Why does the Vendor Scorecard report show a product with 0 displayable reviews but multiple family reviews?

Displayable reviews in the Vendor Scorecard report are tied to the specific Product ID, they do not aggregate across a product family. In this scenario, the family reviews likely belong to a different product ID within the same family.

Why is the Response Submission Date showing an unexpected date, for example, a day later than expected?

The Response Submission Date in reports is recorded in UTC. For example, if you responded to a review on March 31st in your local timezone but UTC was already on April 1st, the report will show 1 April.

Why does the R&R Key Metrics report only show products that have at least one review?

The R&R Key Metrics report is a review-first report, which means it only includes products that have had at least one review submitted (including Rejected, Approved, or Pending). Products with zero reviews across all moderation statuses will not appear in the report.

Why does the Coverage Opportunity report show identical displayable review counts for two different date ranges?

For this report, the date filter only applies to the page views count. The displayable review count is not date filtered, which means it reflects the current displayable total for each product regardless of the date range selected. Comparing two reports with different end dates, for example, January 2025 vs March 2025 will return the same values if the product has not received any more displayable reviews in that time period.

To measure the impact of a change over time, use the R&R Key Metrics report filtered by the relevant date range instead.

What report should I use to get cumulative review counts by product family?

Use the R&R Key Metrics report, select the # Approved Reviews metric, and group by Product family.

What is the difference between a review Response and a Comment?

A Response is a formal brand or retailer reply to a review, which can be published on the product page.

A Comment is a different type of engagement that does not appear as a formal response to the review. When building a report to track unanswered reviews, use the Response filter, not Comment, to identify reviews that have not yet received a formal brand/retailer response.

For what types of reports should I use the R&R Export template?

Good use cases for this report include:

  • Viewing native reviews collected during a specific time period for a specified product or category.
  • Filtering for specific content codes. For example, your legal department might want to review data associated with content codes tagged “LI” for legal issues.
  • Discovering themes across reviews that reveal trends or quality issues.
How important is the product catalog to generating valuable reports?

The quality of data available from your product catalog directly impacts generated reports. For more information, refer to the Product Catalog articles.

Why are some comparison columns on my Trend report blank?

If you group your data by a product attribute and that product attribute has a new addition, for example, a new product was added within the time frame selected, then the comparison column will be blank as it has no data to compare to yet.

What are weighted averages and why are they used?

A weighted average is a type of average where each value for a metric is assigned a weight that helps provide a more realistic average. This is used in case there are large differences between metric values for example, the number of reviews for each product. The averages on some of our Insights dashboards are calculated as a weighted average.

For example: Product A has 5,000 reviews with an average rating of 4.5. Product B has 50 reviews with an average rating of 1.7. Because there is a large difference between the number of reviews for each product, we would provide the weighted average of 4.86.

Can I get reports on my Private Brand metrics?

Yes. There are a few options that contain Private Brand information:

  • You can use the Private Brand dimension to identify metrics specific to your private brands using a True/False identifier on the R&R Key Metrics report or the Coverage Opportunity report.
  • To get an export of your products with a column that identifies whether the metric is for a Private Brand, use the Private Brand field in the Download reviews (R&R Export) or the Download Product Catalog export.
Tip
To get a report that’s specific to only Private Brand products, use the Private Brand filter and select True on any of these four templates.
Why does my report return no results when I filter by Private brand only?

This could be because you have not enabled private brands in your catalog implementation. For more information about adding Private Brands, refer to Working with brands.

How do you track engagement for review summaries?

Engagement that is tracked for Review Summaries depends on if you enabled the Show more button in your implementation. This is because:

  • If you enabled the Show more button:
    • Engagement is passive if a user only reads the preview.
    • Engagement is active if a user clicks Show more.
  • If you did not enable the Show more button:
    • Engagement is always tracked as passive because there are no elements on the page for a user to interact with.

Why can I no longer customize my Insights dashboards in Reports?

In October 2026, we changed the functionality for the Customize in Reports button from some Insights dashboards to provide a better experience by using our Insights export options or by going to the Custom Reports app and using our prebuilt templates.

Going forward, for the following Insights, we recommend you use the following alternatives:

Report scheduling and delivery

When should I schedule my monthly report to run?

We recommend that you schedule monthly reports on or from the 4th of each month. Running reports before this date may result in missing or partial data..

Can I schedule a report to cover a custom weekly date range?

Yes. Depending on the report template, you can set the date range to Last 7 days and select the day you would like the schedule to run on.

Can a scheduled report be paused rather than deleted?

Yes. Any report can be updated to have its schedule set to None. This pauses generation and delivery without deleting the report.

Can I change the delivery time of a scheduled report?

There is currently no way to change the specific time that a scheduled report is delivered. Reports are generated and delivered in the UTC time zone.

How long does a Custom Report take to generate?

Most reports are generated within 10 minutes. However, generation time can vary based on the date range, data volume, and current system load and can take up to a few hours to run.

Does refreshing the browser cancel on-demand report generation?

No. Refreshing the browser does not cancel a report that is generating. The Actionmenu may display the Generate button, but the report continues processing in the background and will be delivered by email and appear in the Download Previous list when complete.
