    Important considerations for reports

    • Access: Report recipients must have an active Portal account to view or download reports.
    • PII security: Users without PII permissions can view reports containing sensitive data but are restricted from downloading them.
    • Data latency: Allow up to 48 hours for raw data and metrics to sync from the Portal to the Reports solution.

    2. How to export to CSV

Export a snapshot of your Ratings & Reviews content to a comma-separated value (CSV) file.

Note: Each row in the downloaded CSV file represents one product review. The CSV file can contain up to a maximum of 100,000 reviews.

    To export reviews:

    1. From the List View, apply any filters to narrow the focus of your review list.
    2. Select the ellipses icon (...) in the upper-right corner,
    3. Select Export to CSV. A progress spinner will appear.
    4. Once the export is complete, the file will be saved to your default Downloads folder.
    Caution
Do not  navigate away from Ratings & Reviews page or close the tab while the download is in progress. Doing so will interrupt the connection. You can continue working in the solution.

    3. CSV File Structure

The exported CSV contains two types of headers:

    • Fixed headers: Static columns that always appear in the same order.
    • Dynamic headers: Columns that vary based on your custom data (for example, specific custom questions or multiple photos)

The following fixed data is included in every Ratings & Reviews CSV file. To help you find data faster, we’ve grouped the fixed columns by category.

    Dynamic CSV columns

Unlike fixed headers, Dynamic columns only appear in your export if the specific data exists for the reviews you have filtered. This keeps your spreadsheet clean by excluding empty data fields.

For example, a 'Quality' column will only appear in your export if your selected reviews actually contain data for that specific question. If no data exists, the column is excluded to keep your file concise.

    4. Comparing Portal and Workbench exports

If you have migrated from legacy Workbench to Portal, please note the following differences in data availability.

    New data in Portal exports

The Portal Ratings & Reviews CSV export includes several data points not available in legacy Workbench exports, mainly:

    • Product details: Status, Description, and Image URL.
    • Consumer sentiments: "Would recommend" values.
    • Engagement stats: Total counts for # Photos, # Videos, and #Responses.

    Current limitations

The following fields are currently unavailable in Portal exports.

      5.  Export FAQs

Why does my export stop when I leave the Ratings & Reviews page?

The export download may stop if you close the Ratings & Reviews page as this interrupts the reports generator connection. Make sure you keep the Ratings & Reviews tab open until the download finishes.

Can I work in other tabs or apps while waiting for export download to complete?

Yes. You can also continue working in Ratings & Reviews. Make sure the Ratings & Reviews tab remains active until the export finishes.

Why is the CSV export capacity limited to 100,000 reviews?

To make sure that this functionality consistently performs well, we've set a cap of 100,000 reviews for CSV exports. Workbench currently allows a maximum of 65,000 reviews. If you need to export more than 100,000 reviews, please use the Download Reviews report in the Reports solution.
